WHAT WE DO

We make AI useful for your business

Kaiku helps businesses find where AI and technology can make a real difference, then turns those opportunities into solutions that work in the real world.

That could be fixing a process everyone hates, introducing an AI employee, getting more from the technology you already have, or rethinking how a whole area of the business could work.

You might come to us with a specific problem, an idea you want to explore, a project already underway, or simply the sense that there has to be a better way.

You don't need to know what technology to use, or even what the solution looks like yet.

Bring us the problem. We'll work out what's possible.

We look at how your business works and identify where AI, automation or process improvements could have the biggest impact.

We choose the right technology, connect it to your existing systems and make it work in the real world.

We help your team adopt it, measure what’s working and keep improving from there.

Our Approach

1. Prioritise the problem

We avoid rigid platforms and pre-packaged answers. Instead, we dive deep into your specific challenges, identifying exactly what is slowing you down and where innovation will have the most significant impact before any development begins.

2. Opt for the leanest solution

Complexity is not a metric for success. If your existing tools can be leveraged to fix a bottleneck, we start there. We only integrate AI and automation where they provide clear, undeniable value and streamline your operations more effectively than a simple process change.

3. Build for the messy bits

Real businesses have exceptions, sensitive information, legacy systems, unusual cases and decisions that still need human judgement. We design for those from the beginning, so what works in the demo still works six months later.

What We Can Help With

01

AI Discovery & Opportunity Mapping

Not sure where to start? Start here.

You don’t need to come to us with a list of AI projects. In fact, we’d usually rather you didn’t.

Tell us how the business works and where the frustrations are, and we’ll dig into the processes behind them. We look for repetitive work, bottlenecks, double handling, delays, unnecessary manual steps, missed opportunities and places where people spend far more time than they should.

From there, we identify and prioritise the opportunities that are genuinely worth pursuing, taking into account the potential value, complexity, risk and effort involved.

The result is a prioritised opportunity map: what we'd change, why it's worth changing, and what we'd tackle first.

Typical areas we uncover include:

  • Manual administration and data entry

  • Email and document-heavy processes

  • Slow approvals and handoffs

  • Repetitive customer enquiries

  • Quoting and estimating

  • Lead follow-up and re-engagement

  • Reporting and information gathering

  • Knowledge trapped across people, inboxes and documents

  • Processes that rely on copying information between systems

  • Work that regularly gets delayed, forgotten or repeated

02

Process & Workflow Improvement

Fix the process before automating it.

Automating a messy process just gives you a faster messy process.

We map how the work happens today, find the unnecessary steps, bottlenecks, handoffs and workarounds, then redesign it around how the business should actually work.

Sometimes that means removing a couple of unnecessary steps. Sometimes it means rethinking a workflow across several teams and systems. Only then do we decide what should be automated and what still benefits from human judgement.

03

Solution Design

Work out what should actually be built.

Once we know what needs fixing, we work out the best way to do it.

We’re not tied to a particular AI model, automation platform or software vendor. The solution might use AI, workflow automation, your existing Microsoft environment, system integrations, custom software or a combination of them.

We also think beyond whether something can technically be automated. We consider how it fits into your existing systems, what happens when something goes wrong, where human review is needed, how sensitive information is handled and whether the solution will still make sense as the business grows.

The aim is to build something useful and maintainable, rather than adding another tool your team has to work around.

04

AI & Workflow Automation

Take the repetitive work out of the day.

A surprising amount of work still consists of people reading something, deciding what it is, moving information somewhere else, updating a system, sending an email and remembering to follow it up later.

We build workflows that connect the systems your business already uses and handle the repetitive steps in between. AI can be added where the work involves language, documents, judgement or unstructured information that traditional automation struggles with.

That could mean automatically reading incoming emails and routing them to the right job, extracting information from documents, updating records, preparing quotes, generating reports, creating tasks, following up customers or escalating something that needs human attention.

The goal isn’t automation for its own sake. It’s giving your team less admin to think about.

05

AI Assistants & AI Employees

Give AI a real job to do.

AI doesn't have to sit in a chat window waiting for someone to ask it a question.

We can build AI employees with defined roles, responsibilities and measurable outcomes. They can use your business systems, complete work across multiple steps, monitor what's happening, make decisions within agreed boundaries and bring in a human when judgement is required.

An AI employee might manage incoming enquiries, qualify and follow up leads, process documents, coordinate jobs, prepare reports, monitor outstanding work or take responsibility for an entire operational workflow.

And just like another member of the team, the role can have:

  • Clear responsibilities and boundaries

  • KPIs and performance measures

  • Access to the tools and information it needs

  • Escalation paths and human oversight

  • Regular performance reviews

  • An ongoing development plan

As its performance improves, the role can evolve. We can identify where it's struggling, add new capabilities and gradually expand what it's trusted to handle.

At the other end of the spectrum, sometimes all you need is a simple assistant that answers questions or helps your team find information.

The level of autonomy should fit the job.

06

AI Adoption & Transformation

Making AI work beyond the first project.

The technology is usually only part of the challenge.

As AI becomes more widely used across a business, questions start to come up around data, risk, governance, ownership, training, architecture and how people are expected to work alongside it.

We help businesses think through those questions and build an approach that makes sense for their size and level of complexity.

That can include identifying where to invest next, setting sensible guardrails, designing human oversight, helping teams adopt new ways of working and measuring whether the changes are actually delivering the expected result.

Once individual AI projects start delivering value, the next opportunity is joining them up.

Not sure which of these you need?

Good. You don't need to be.

Tell us what's taking too long, costing too much, frustrating your team or getting in the way of growth. We'll help you work out what's worth fixing and what the best next step looks like.
